Purpose of the job
The Production Assistant provides administrative support to the production management team and show supervisors.
Essential Functions/Responsibilities
- Assisting the download and delivery of files to the client with the support of the APM and DPAs
- Organization of data in the file system
- Acts as primary point of contact for internal Editorial
- Maintains show database with revisions, omits, and shot length changes; updates the production tracking
system and notifies the affected crew as needed
- Inputting client notes to shotgrid database
- Maintains show administrative documentation including show crew lists, distribution lists, contact
information and meeting schedules for the show web site
- Responsible for administrative tasks including scheduling of meetings and calendar management.
- Booking conference rooms as needed, digital filing of documentation, and general administrative support
for the production team
- Additional support for packaging and delivery to DD India’s team alongside the Studio Outsource
Coordinator
- Completes research and finding reference as needed for production team and show supervisors
- Purchase requests, expense reports where needed
- Travel arrangements for show personnel with the support of the Purchasing team
- Assists with any team event planning for the the show
- Responsible for onsite setup of dailies, nightlies, and all client reviews in the Screening Room and review
stations where needed
- Coordinates the ordering, delivery, and clean up of food and drink for any onsite meetings / work days
- Ad hoc tasks as needed for general support of the show and production team
Education and/or Experience Required
- Bachelor’s degree in film, art, communications or related field is preferred
- Production experience a plus
- Familiarity or experience with a previous information tracking database is a plus
- Experience with visual effects or feature animation systems and pipelines a plus
- Comprehensive knowledge of Microsoft Office and Google Suite applications required
- Excellent organizational, interpersonal, and communication skills
- Ability to prioritize tasks with mindfulness to deadlines with quick turnaround times
Working Conditions and Environment/Physical Demands
- Office working environment
- Hours for this position are based on normal working hours but will require extra hours pending production
needs
- Walking/bending/sitting

The posted range describes the minimum to maximum range for this job description in the state of California and the provinces of British Columbia and Quebec. The range is posted in accordance with applicable law. The range for this same position may be lower or higher in markets outside of California or the provinces of British Columbia and Quebec. Offered base pay is contingent on internal equity, as well as the candidate’s geographic region, job-related knowledge, skills, experience, and other factors.
