Due to continued growth in our flight operations, we are expanding our team and seeking an experienced aviation professional who thrives in a fast-paced, high-touch environment. In this role, you will serve as the central coordinator for corporate flight operations, managing complex domestic and international travel schedules while balancing aircraft availability, crew requirements, passenger needs, and operational constraints.
Success in this role requires sound judgment, attention to detail, exceptional customer service, and the ability to adapt quickly as priorities change. You will play a critical role in ensuring safe, efficient, and compliant operations while delivering the level of service expected from a premier corporate aviation program.
This position supports a 24/7 operation and requires flexibility to work non-traditional hours, including evenings, weekends, holidays, and on-call coverage.
Responsibilities
As an Aviation Scheduling Manager, you will oversee corporate aircraft scheduling and operational coordination for executive and business travel. You will partner with flight crews, executive assistants, mechanics, vendors, and aviation leadership to ensure every trip is executed safely, efficiently, and in compliance with company and regulatory requirements.
- Assign corporate aircraft and crew to meet the travel requirements of senior executives.
- Monitor the daily fleet operations and coordinate with pilots, administrative assistants, and ground staff to ensure accurate and updated schedules.
- Coordinate crew and passenger logistics, including ground transportation, hotel accommodations, and travel requirements.
- Ensure ground handling, landing/departure slots, and permits are arranged before each trip.
- Arrange charter aircraft when needed, and maintain records for audit and reporting.
- Support high-level group travel, such as board meetings and press events, and manage travel documents and visas for crew.
Required Qualifications:
- Strong proficiency in aviation scheduling within corporate or Part 91/135 environments.
- Advanced planning and scheduling skills with the ability to update in real time.
- Excellent communication skills with a customer-service mindset for executives and vendors.
- Strong organizational skills and attention to detail in fast-paced settings.
- Proficiency with scheduling and office software, including business tools.
- Ability to work non-standard hours, including evenings and weekends.
- Demonstrated problem-solving skills and collaborative mindset.
- 5+ years of relevant professional experience in aviation.
Education
High School Diploma required. Bachelor’s degree preferred.
Preferred Qualifications
Interest in and ability to maintain a flexible schedule, with experience in charter, and experience with scheduling software is preferred.
